Privacy Policy

How we collect, use, and protect personal information, for the companies that hire through us and the professionals we place.

01

Who we are and what this covers

Remote Talentz LLC ("RemoteTalentz", "we", "us", "our") is a remote hiring partner registered in the United States at 7901 4th St N, Ste 300, St Petersburg, Florida 33702, United States, with an operations office at House 1121, Road 11, Avenue 8/A, Mirpur DOHS, Dhaka 1216, Bangladesh.

This policy explains what personal information we collect, why we collect it, who we share it with, and the choices you have. It applies to remotetalentz.com, our client dashboard, and the sourcing, vetting, placement, and payroll services we provide.

Who this policy is about

  • Clients: the companies that hire through us, and the people at those companies who brief us on a role, request pricing, or manage an engagement.
  • Candidates and talent: the professionals who apply to our network, are shortlisted for a role, or are placed with a client.
  • Visitors: anyone who browses the site without submitting anything.

For most purposes we act as the controller of this information: we decide why and how it is processed. Where we place talent with a client and handle information purely on that client's written instructions, the client is the controller and we act as their processor.

We do not sell personal information, we do not share it for cross-context behavioural advertising, and we do not use it to train third-party AI models. This website runs no advertising or analytics trackers.

Information we collect

Information you give us

  • Hiring briefs: when you submit the contact form we collect your full name, work email address, company name, company website, phone number (optional), and whatever you tell us about the role.
  • Pricing requests: to unlock the full rate card we collect your full name and work email address. Free webmail addresses are rejected at this step, so an address entered here is a business one by design.
  • Scheduled calls: if you book an intro call, the name, email, and meeting details you give our scheduling provider.
  • Candidate applications: professionals applying to our network provide a CV, work history, education, skills and stack, portfolio or repository links, salary expectations, availability and location, and the outcome of interviews, live builds, and reference checks.
  • Verification and onboarding: for talent we place, government-issued identity documents, right-to-work or contracting status, references, and the bank details needed to pay them.
  • Account information: if you have a dashboard login, your email address, a securely hashed credential or federated sign-in identifier, and your role.
  • Correspondence: emails, WhatsApp messages, and notes from calls with our team.

Information we collect automatically

  • Server and security logs: IP address, browser and device type, referring page, pages viewed, and timestamps, recorded when your browser requests a page or submits a form.
  • Bot protection: our forms are protected by Cloudflare Turnstile, which issues a challenge token confirming a submission came from a person rather than a script. Cloudflare processes technical signals about the browser to reach that decision.

Information from other sources

  • Public professional profiles and portfolios (LinkedIn or GitHub, for instance), when we source or verify a candidate.
  • References and previous employers a candidate has named.
  • Our clients, when they give feedback on a placed professional's performance.

We ask for the minimum that lets us do the job. The contact form has exactly one optional field, and every other field exists because sourcing accurately depends on it.

03

How we use your information

What we doWhy
Respond to a brief or pricing requestTo come back within one business day with availability, rates, and a plan.
Source, vet, and shortlistTo match a role against our talent pool and run technical, communication, and reference checks.
Introduce candidates to clientsTo put profiles in front of the client considering the role.
Contract, onboard, and payTo draft agreements, run payroll in local currency, and meet statutory obligations.
Manage a live engagementFor account management, monthly reporting, performance support, and replacements.
Support and communicateTo answer questions, send service updates, and reach you about your engagement.
Protect the serviceTo block spam and abuse, investigate security incidents, and keep a record of what happened.
Meet legal obligationsTo satisfy tax, employment, accounting, and lawful authority requirements.
Improve what we offerTo understand which roles teams need and where our process falls short.

Marketing

We may email you about services related to an enquiry you have already made. Every marketing email carries an unsubscribe link, and opting out never affects the service you are receiving. We do not market to candidates about anything beyond opportunities and their own application.

05

Cookies and similar technologies

This website runs no advertising, profiling, or analytics cookies. There is no Google Analytics, no advertising pixel, and no third-party tracker on our public pages. Two strictly necessary cookies remain:

  • Bot protection: Cloudflare Turnstile may set a short-lived token so a form submission can be verified as human. Without it our forms are open to automated abuse.
  • Authentication: if you sign in to the dashboard, a session cookie keeps you signed in. It is cleared when you sign out or the session expires.

Because we set no optional cookies, there is no consent banner to dismiss and nothing to opt out of. You can still block or delete cookies in your browser, but sign-in and form submission will simply stop working.

Do Not Track

We do not track visitors across third-party websites, so a Do Not Track header or Global Privacy Control signal has nothing to change about how this site behaves.

06

When we share information

We share personal information only where running the service requires it, and only with parties bound to protect it.

  • Clients: candidate profiles, CVs, and interview outcomes go to the client considering the role. Candidates are told which client a profile is going to before it is sent.
  • Talent: the working information a placed professional needs to do the job, such as your team's names and contact details.
  • Service providers: hosting and infrastructure, our customer relationship system, email delivery, scheduling, bot protection, authentication and database services, and payroll and payment providers. Each acts on our instructions under a written agreement.
  • Professional advisers: lawyers, accountants, and auditors, where they need it to advise us.
  • Legal and safety: where the law, a court order, or a valid request from a public authority requires it, or where disclosure is necessary to establish or defend legal claims or to protect someone's safety.
  • Business transfers: if we are involved in a merger, acquisition, financing, or sale of assets, information may transfer as part of it. We will tell you before your information becomes subject to a different privacy policy.

07

International transfers

We operate across the United States and Bangladesh, and our clients and talent are spread wider still. Delivering the service therefore means moving personal information across borders: a candidate profile prepared in Dhaka and reviewed by a client in the United States or the European Union, for instance.

Where information leaves the United Kingdom or the European Economic Area, we rely on appropriate safeguards: the European Commission's Standard Contractual Clauses, the UK Addendum where relevant, and the technical and organisational measures described below. Write to us for a copy of the safeguards covering a particular transfer.

08

How long we keep it

We keep personal information only as long as the purpose it was collected for requires, then delete it or render it anonymous. In practice:

InformationRetention
Hiring briefs and pricing requestsUp to 24 months from your last contact with us, unless you become a client
Client account and engagement recordsFor the life of the engagement, then 7 years for tax, accounting, and limitation purposes
Candidate profiles not placedUp to 24 months, so we can approach you about a fitting role, longer only with your consent
Records of placed talentFor the engagement, then as long as employment, payroll, and tax law requires in the relevant country
Identity and verification documentsDeleted once verification is complete, unless law requires us to retain them
Server and security logsUp to 12 months
CorrespondenceUp to 24 months from the last message, unless it forms part of a contractual record

Where law or an unresolved dispute requires a longer period, we keep the information until that obligation ends.

09

How we protect it

  • Access to candidate and client data is role-based, people see what their job requires and no more.
  • Data is encrypted in transit, and our forms post to our own servers rather than to third-party endpoints exposed in the browser.
  • Bot protection sits in front of every public form, keeping automated submissions out of our systems.
  • Every professional we place signs a non-disclosure agreement and an intellectual-property assignment before they start.
  • Credentials for internal systems are individual, and access is revoked when someone leaves.

No system is perfectly secure. If we become aware of a breach affecting your personal information, we will notify you and the relevant regulator wherever the law requires it.

10

Your rights and choices

Depending on where you live, you may have some or all of the following rights.

  • Access: a copy of the personal information we hold about you.
  • Correction: to have inaccurate or incomplete information fixed.
  • Deletion: to have information erased where we no longer have grounds to keep it.
  • Portability: to receive the information you gave us in a portable, machine-readable format.
  • Objection and restriction: to object to processing based on legitimate interests, or to ask us to pause it while a concern is resolved.
  • Withdraw consent: where processing rests on consent.
  • Opt out of marketing: through the unsubscribe link in any marketing email.
  • Non-discrimination: we will not deny service, charge a different rate, or lower quality because you exercised a privacy right.

How to exercise them

Write to info@remotetalentz.com with "Privacy request" in the subject line and tell us what you would like us to do. We verify identity (usually by confirming control of the email address on file), and respond within 30 days, or 45 where the law allows and the request is genuinely complex. There is no charge unless a request is manifestly unfounded or excessive.

You may use an authorised agent where your local law permits it, and we will ask for proof of their authority. If we decline a request we will explain why, and you can appeal by replying to that decision with "Appeal" in the subject line.

If you are unhappy

We would rather hear from you first, but you have every right to complain to your data protection authority: your national supervisory authority in the EEA, the Information Commissioner's Office in the UK, or your state Attorney General in the United States.

11

Children's privacy

Our services are for businesses and working professionals. We do not knowingly collect personal information from anyone under 18, and no part of this website is directed at children. If you believe a minor has given us information, write to us and we will delete it.

12

Third-party links and services

Our site links out to destinations we do not control: LinkedIn, Facebook, YouTube, WhatsApp, Google Maps, and our scheduling provider among them. Following one takes you to a service governed by its own privacy policy. We are not responsible for their practices, and we would encourage you to read them.

13

Changes to this policy

We update this policy when our practices, our services, or the law change. The date at the top of this page always reflects the current version. Where a change materially affects your rights, we will give notice by email or a prominent notice on the site before it takes effect. Continuing to use the service after that point means you accept the updated policy.
